Responsibilities

  • Manages the schedules of the CEO by planning and coordinating meetings, teleconferences, and travel arrangements
  • Conserves time for the CEO by handling phone calls, routing correspondence, drafting letters and documents, collecting and analyzing information, and creating professional presentations
  • Supports the coordination of meetings, materials, and communications as needed
  • Greets guests, candidates, and coworkers in a welcoming and friendly manner, both in person and on the telephone
  • Initiates oral and written responses to routine inquiries independently
  • Coordinates the interview schedules and travel arrangements
  • Manages expense reporting and reconciliation through the company’s expense management system
  • Oversees multiple projects through to completion within defined timelines
  • Works independently under general direction with the ability to prioritize work and organize time in a fast-paced, team-oriented environment
  • Maintains office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, and evaluating new office products
  • Must be able to handle interruptions and other unexpected events and make necessary adjustments in a poised and professional manner
  • Maintains current knowledge of major department/business unit functions and policies
  • Performs additional duties and responsibilities as assigned

  • Accuracy and desire to produce high quality, accurate results while ensuring consistency in everything we do
  • Urgency and desire to get things done right now and exhibit leadership skills; understanding the importance of high level decision making and working with a sense of urgency, while maintaining attention to detail
  • Implementer and ability to take a concept from idea through execution, documenting the process along the way
  • Brain power and having a spectacular memory and knowing everything about our business (production, transactions, systems, etc.) in your head at all times

Qualifications

  • Must have a valid driver’s license and own transportation
  • Must love dogs
  • Available 24/7 and willing to move their schedule around the CEO's
  • Independent judgment is required to plan, prioritize and organize a diversified workload
  • Ability to perform data entry accurately, efficiently and quickly
  • Excellent organizational and systems-oriented skills
  • Phenomenal attention to detail
  • Outstanding note taking skills
  • Public relations and social media experience
  • The ability to read, comprehend, summarize and brief on financial metrics, financial reports, and economic indicators.
  • Ability to compose talking points, presentations, and experienced on Power Point.
  • Strong functional knowledge of the Microsoft Office Suite (Word, Excel, Outlook, Power Point)
  • Excellent written (spelling, grammar, punctuation, vocabulary, etc.) and oral skills
  • Type at least 50 wpm
  • Entrepreneurial mindset, energetic, tenacious, resourceful
  • Member of the EAO is a plus!
  • Mac experience is a big plus!
